1. Who we are
This Privacy Policy is issued by Pillars Core Enterprise ("PillarsCore", "we", "us", "our"), operator of the PillarsCore cloud core banking platform. Pillars Core Enterprise acts as the data controller for personal data processed through our website and the PillarsCore application, except where we act as a processor on behalf of a financial institution customer.
2. Personal data we collect
- Identity & contact data: name, email, phone, job title, organisation.
- Account credentials: hashed passwords, MFA factors, session tokens.
- Support & communications: messages, tickets, feedback, call notes.
- Usage & telemetry: pages viewed, features used, errors, timestamps.
- Device & network data: IP address, browser, OS, device identifiers.
- Cookies & similar technologies (see section 8).
3. Purposes and legal bases
- Provide, secure, and maintain the platform — contract performance.
- Authenticate users and prevent fraud/abuse — legitimate interests and legal obligation.
- Provide customer support — contract performance.
- Improve the product and analytics — legitimate interests.
- Marketing communications where permitted — consent or legitimate interests, with opt-out.
- Comply with legal, tax, and regulatory obligations — legal obligation.
4. How we share data
We share personal data only with the following categories of recipients:
- Infrastructure and subprocessors (cloud hosting, database, email delivery, analytics, error monitoring).
- Paddle.com Market Ltd — our Merchant of Record — for the sale of subscriptions, billing, payments, tax compliance, invoicing, and related customer service.
- Professional advisers (legal, accounting, audit) under confidentiality obligations.
- Authorities and regulators where required by applicable law.
We do not sell personal data.
5. International transfers
Personal data may be processed outside your country of residence, including in the EEA, UK, and United States. Where required, we rely on adequacy decisions or standard contractual clauses and apply appropriate technical and organisational safeguards.
6. Data retention
We keep personal data only for as long as needed for the purposes described above and to meet legal, tax, and accounting obligations. When no longer needed, data is deleted or irreversibly anonymised.
7. Your rights
Subject to applicable law, you may request access, rectification, erasure, restriction, portability, or objection to processing; withdraw consent at any time; and lodge a complaint with your data protection authority. 8. Cookies
We use strictly necessary cookies to operate the platform (authentication, session, security) and, with your consent where required, analytics cookies to understand usage. You can manage cookies via your browser settings.
9. Security
We apply appropriate technical and organisational measures — including encryption in transit, access controls, least-privilege, audit logging, and monitoring — to protect personal data against unauthorised access, alteration, disclosure, or destruction.
